A Methodology.

BrightFlow Digital Operations System is a fictional digital agency I built to demonstrate how modern businesses can improve operations through connected workflow modules, practical automation, and well-designed business systems. It is not a software product, and it was never deployed for a real client — every workflow inside it runs against simulated data for a simulated business.

What it demonstrates is real: designing a workflow around an actual operational bottleneck, building it in a way a non-technical team could run, and documenting it so it holds up without me in the room. Unless stated otherwise, everything on this page is a portfolio project, not a client engagement.

Module 01

Client Intake & Qualification

Business problem: leads sat unanswered for days because intake and routing were manual.

Solution: a Make.com scenario routes each incoming lead the moment it arrives, scores it against BrightFlow's client profile, and replies automatically — with incomplete submissions flagged for manual review instead of being scored blind.

Technologies: Google Sheets, Make.com, Google Gemini AI, Telegram alerts.

AI involvement: Gemini reads the unstructured submission and returns a structured category and 1–10 quality score — used for exactly what it's good at, not for the whole workflow.

Business value: designed to compress a multi-day lead-response gap into minutes.

Module 02

Client Onboarding

Business problem: setting up a newly closed client took a coordinator two to three hours and looked different depending on who ran it.

Solution: picks up the instant a deal is marked "Closed Won" in the same CRM sheet Module 1 writes to, then generates a welcome email, a setup checklist, and a client folder structure automatically.

Technologies: Google Sheets, Google Drive, Make.com, Google Gemini AI.

AI involvement: Gemini drafts a personalized welcome email and a checklist scaled to the client's service type — kept as two clearly separate outputs so nothing gets duplicated.

Business value: designed to turn deal closure into a same-day, consistent onboarding experience regardless of who's coordinating.

Module 03

AI Operations Assistant

Business problem: meeting summaries, action-item tracking, and follow-up emails were eating account managers' time across dozens of meetings a month.

Solution: a meeting transcript goes in; a standardized summary, a structured action-item tracker, and a drafted client follow-up email come out.

Technologies: Google Sheets, Make.com, Google Gemini AI, Outlook.

AI involvement: Gemini reads the full transcript and returns the summary, key decisions, action items with owners and due dates, and the follow-up draft — one AI step supporting the write-up, not running the client relationship.

Business value: designed to standardize meeting documentation and keep follow-ups consistent regardless of who ran the meeting.

Module 04

Executive Dashboard

Business problem: managers were compiling weekly status reports by hand across four separate sheets, and there was no way to check pipeline health without asking someone to stop and pull it together.

Solution: a single live dashboard tab built entirely on native Google Sheets formulas — pipeline value by stage, win rate, active client count, onboarding status, task completion rate — plus a daily automated check confirming every source tab is still active.

Technologies: Google Sheets (native formulas, IMPORTRANGE, Apps Script), Make.com, Telegram Bot API.

AI involvement: none, by design. Not every operational problem needs an AI layer — this one needed the right formulas and one clean monitoring check.

Business value: designed to give real-time visibility into pipeline health without manual compilation.

Module 05

Automation Monitoring System

Business problem: four live automations were writing to a shared log but not watching each other — if one went quiet or started failing, nobody would know until a client asked why they'd gone silent.

Solution: a monitoring layer that reads the shared activity log every 30 minutes and only interrupts anyone when something crosses a critical threshold, rather than sending noise on every check.

Technologies: Google Sheets (native formulas), Make.com, Telegram Bot API.

AI involvement: none — like Module 4, the summarizing and status logic lives in Sheets formulas; only the scheduled check and alert needed automation.

Business value: designed to catch a failing workflow before a client notices, instead of after.

What Each Module
Taught Me

Building BrightFlow as one connected system rather than five separate builds forced a different kind of discipline: every new module has to fit into the same client record and the same error-handling pattern, not just work on its own. Modules 1–3 also taught me where AI genuinely helps — reading unstructured text and returning a structured judgment — and where it doesn't. Modules 4 and 5 were deliberately built without AI, because dashboarding and monitoring were better served by the right formulas and a well-tuned alert threshold. Documentation mattered as much here as it did in the GDD case study: a workflow only counts as done once someone other than me could pick it up and run it.

An Evolving
Portfolio

BrightFlow will continue expanding as new portfolio projects are completed. Future additions may include a ClickUp Operations Workspace, a knowledge management system, and CRM system extensions — each built to extend the same shared foundation rather than stand apart from it. This is an evolving portfolio, not a commercial software product with a fixed release roadmap.
